Apex Driver Experience Terms & Conditions

• A booking is only confirmed once we have received written confirmation and any required deposit.
• The remaining balance must be paid no later than 7 days before the event, unless otherwise agreed in writing.
• Bookings made within 7 days of the event must be paid in full at the time of booking.
• Prices quoted are valid for 30 days unless otherwise stated.

• A non-refundable deposit may be required to secure your booking.
• Deposits are deducted from the final balance.
• Failure to pay the remaining balance by the due date may result in your booking being cancelled.

Customer Cancellation

• More than 30 days before the event: Deposit retained, no further charges.
• Between 14–30 days before the event: 50% of the total booking fee Will be payable.
• Less than 14 days before the event: 100% of the booking fee is payable.

Our Cancellation

• In the unlikely event that we are unable to attend due to circumstances beyond our control, we will either offer an alternative date or provide a full refund of any payments received.

• We require suitable access to the venue for loading and unloading equipment.
• Setup times will be agreed before the event.
• Collection will take place at the agreed finish time unless alternative arrangements have been made.
• Delays caused by restricted access or venue issues may incur additional charges.

The customer is responsible for ensuring:

• Adequate indoor space for the booked package.
• A clean, dry and level surface.
• Safe access for equipment.
• Suitable parking close to the venue.
• Access to sufficient standard electrical power outlets.
• Permission from the venue for our equipment to be used.

If the venue is unsuitable or unsafe, we reserve the right to refuse setup without refund.

Our simulators remain under the supervision of our staff unless otherwise agreed.

Customers and guests must:

• Follow all instructions given by our team.
• Treat all equipment with care and respect.
• Avoid any behavior that could damage equipment or endanger others.

We reserve the right to stop any participant from using the simulators if their behavior is unsafe, abusive, or likely to cause damage.

The customer is responsible for any loss or damage caused through negligence, misuse, vandalism or deliberate acts by themselves or their guests.

Repair or replacement costs may be charged where damage exceeds normal wear and tear.

Participants use the simulators at their own risk.

The simulators are not recommended for anyone who:

• Suffers from epilepsy or seizures triggered by flashing images.
• Experiences severe motion sickness.
• Has medical conditions that could be aggravated by simulator use.
• Participants must wear appropriate foot wear.

Children must be supervised by a responsible adult unless otherwise agreed.

We maintain public liability insurance.

Our liability is limited to the value of the booking unless otherwise required by law.

We are not responsible for:

• Venue power failures.
• Internet outages (where applicable).
• Delays caused by traffic, accidents or severe weather.
• Losses arising from circumstances outside our reasonable control.

Nothing within these Terms & Conditions excludes liability for death or personal injury caused by our negligence or any other liability that cannot legally be excluded under UK law.

We may take photographs or videos during events for promotional purposes.

If you or your guests do not wish to appear in any photographs or videos, please notify us before the event begins.

We shall not be liable for failure to perform our obligations where prevented by events beyond our reasonable control, including but not limited to severe weather, natural disasters, government restrictions, strikes, accidents or illness.

Any personal information collected during the booking process will only be used to manage your booking and communicate with you. We will never sell your personal information to third parties.

These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
